MAIF streamlines its claims file management using EverSuite
The ECM platform of EVER TEAM allows the 12 regional claims management centres to accelerate the processing of over 2.6 million items of incoming correspondence per year.
Lyon, 27 April 2009 - EVER TEAM, the leading European Enterprise Content Management software vendor, announces that MAIF, France's fifth-largest insurer for private general insurance and number one insurer for the voluntary sector, has implemented the EverSuite ECM platform for the storage, indexing, processing and protection of documents relating to claims management files, with the aim of pooling information and streamlining its activities.
EverSuite was chosen for its capacity to address the issue of the insurer’s volume requirements using a standard and scalable technological solution. The use of EverSuite allows MAIF to completely automate the claims processing workflow. For example, whatever the nature of the documents (scanned manuscripts, photos, affidavits, etc.), all the file elements can now be transmitted to the experts via e-mail, so eliminating two lost days waiting for the exchange of postal correspondence.
10.4 million pages in one year
MAIF selected the EverSuite platform in particular for its unique and sophisticated correspondence breakdown and analysis features: EverSuite can be used to manage the various documents contained in the same letter. Hence, photos, letters, expert affidavits are correctly indexed, processed then associated with the corresponding electronic claims files with no loss of traceability of the correspondence. EverSuite can also handle e-mails and faxes and will ultimately integrate outgoing correspondence too.
The ECM platform of EVER TEAM allows the processing of over 10,000 letters per day in the 12 regional centres that centralise the claims management (i.e.: over 2.6 million letters or 10.4 million pages per year).
1200 users with specific access rights
Over 600 claims managers (1200 by the end of 2009) today use this solution, allowing them to respond in real-time to claims requests from the victims of burglary, damage to their homes, etc. Thanks to its open-source technology design (Java, J2EE, XML, Ajax) and its service-oriented architecture (SOA), EverSuite has been fully integrated into the business application environment of MAIF, in particular with regard to the management of the task-trays of managers and access rights to documents.
MAIF has to this end been able to define specific accesses per user profile, per file and also per document typology, according to the responsibilities of each user or the specific features of a file. Access to a file concerning an employee or else which is judged to be sensitive on account of its media coverage, for example, may be limited by means of easy configuration in EverSuite.
Existing processing procedures preserved
The flexibility of EverSuite has allowed all existing processing procedures to be preserved, so limiting the impact of the ECM solution on the working methods. File managers, for example, may freely bundle and unbundle documents from the same electronic transmission (or letter) in order to facilitate inter-departmental management and communication while ensuring against loss of traceability. EverSuite provides managers with flexibility of management and classification entirely suited to their business needs, which entail managing claims files that may remain open for several months several years.
Faster file processing
MAIF is already reaping the benefits of EverSuite’s implementation. In less than three weeks, the first installed sites have taken up the solution. Since all files are now accessible online, the managers are capable of providing insured callers with information immediately, no matter where the customer or the manager is located geographically. This avoids having to call back the insured party, and allows the request to be treated directly online. Online sharing of files enables faster processing of files and improved workflow distribution.
The objective of information pooling is also achieved, since every other department that has relations with the customer also has access to the entire captured claims file.
