EVER TEAM’s latest innovation: Introducing Document Management as “Smart e-Services”

Press release

The notion of archiving and document management has been around for a while. In the early ECM days, organizations invested in ECM repositories which cater to departmental needs and have since evolved towards enterprise wide filing plan strategies with library services and document lifecycle automation as well as traceability.

With the diversified investment in enterprise applications, organizations gradually noticed that the concept of “Document Enabling” was needed everywhere. Typical enterprise applications are limited towards delivering structured data to information and task workers, who have developed a certain “comfort zone” towards consistently utilizing such applications. Most of an enterprise’s information assets are in the form of unstructured content. Implementing standalone document management systems has not been able to prove significant value, even when integrated with information systems. The objectives behind integration initiatives were limited towards unifying structured and unstructured information assets, which is very logical and adequate; however such integration initiatives have missed out on an essential aspect which is rapidly changing the software implementation landscape: user experience.

Successful user experience and adoption derives from simplicity, whether it’s in terms of consuming content from multiple channels (lately tablets and smart phones as the mobile workforce is growing on a very rapid pace), or whether its smartly consuming content as e-Services. The latter part has been radically innovated by EVER TEAM, by introducing smart enterprise document management platforms which not only document enable an organization’s existing applications, but also allows privileged users from anywhere across the globe, to consume document management features as “e-Services” from the comfort of their existing applications. This can be better clarified through the implementation with the Saudi Ministry of Higher Education, where the EverSuite Document Management Platform plays a key role in exposing several e-Services, such as adding a new student folder, updating the contents of an existing student folder,  or inquiring about a certain critical document within the student folder. All of such features are exposed as e-Services and consumed from the comfort of the existing Ministry’s e-Learning user interface, as well as the ministry’s portal (http://www.mohe.gov.sa/ar/Pages/MoheServices.aspx

In conclusion, with the rapid evolution of cloud computing, the EverSuite Enterprise Content Management platform is shifting towards reaching a mass number of users, regardless of geographical or language barriers, and through multiple content distribution channels, including the concept of consuming document management functionality as e-Services from the comfort of any enterprise web application or device.  An increased emphasis on a rich, interactive and service oriented experience becomes imperative for building long term and sustainable ECM platforms which cater to the needs of current and upcoming social generations.
